There&#8217;s a free or business version and it&#8217;s available anywhere. But even a simple and elegant solution may require training for teams that aren\u2019t used to working remotely. Just because you understand it, don\u2019t assume that people know how to adjust settings to track their edits, for example, rather than editing a document directly.<\/p>\n<p><a href=\"https:\/\/www.dropbox.com\/official-site?_tk=paid_sem_goog_biz_b&amp;_camp=142947702&amp;_kw=dropbox|e&amp;_ad=562219773485||c&amp;gclid=CjwKCAjwiJqWBhBdEiwAtESPaGtuAlv5eE-MfIpFiepHg0mUejhQkfuRXoLLOhd8-zcg7mxD0s2_6BoCd7gQAvD_BwE\">Dropbox<\/a> is helpful to organize final versions of documents. Cyrus Zulkarna\u00efan Kazi, CEO and co-founder of Quantibly.com, a global SaaS solution for the social sector, prefers to keep it simple. He creates a master Google spreadsheet as a \u201crunning depository of all the things being worked on.\u201d The spreadsheet has links to all of the project documents. \u201cYou can\u2019t walk into someone\u2019s office and ask for something,\u201d he points out, so having everything organized in one place is helpful.<\/p>\n<p>There are many task and project management tools available out there. Website developers seem to prefer <a href=\"https:\/\/basecamp.com\/\">Basecamp<\/a>, but personally, I like the visual design and ease of use of Trello.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-51019 size-full alignleft\" src=\"https:\/\/www.creativecircle.com\/wp-content\/uploads\/2020\/04\/trello.png\" alt=\"image-of-trello-board\" width=\"974\" height=\"608\" srcset=\"https:\/\/www.creativecircle.com\/wp-content\/uploads\/2020\/04\/trello.png 974w, https:\/\/www.creativecircle.com\/wp-content\/uploads\/2020\/04\/trello-300x187.png 300w, https:\/\/www.creativecircle.com\/wp-content\/uploads\/2020\/04\/trello-768x479.png 768w\" sizes=\"auto, (max-width: 974px) 100vw, 974px\" \/><br \/>\n<em>Image courtesy of Trello<\/em><\/p>\n<p>Here again, Kazi prefers to stick with a simple project management tool that doesn\u2019t require another application. When you use \u201cheavy\u201d project management tools like a Gantt chart, he explains, you also have to train people. And that adds work. He uses a shared Google spreadsheet for project and task management.<\/p>\n<h4>Tools for Staying Connected<\/h4>\n<p>Like productivity tools, for each solution that one person prefers and finds reliable, there are other messaging solutions that someone else will choose. Many teams use <a href=\"https:\/\/slack.com\/lp\/three?utm_medium=ppc&amp;utm_source=google&amp;utm_campaign=d_ppc_google_us_en_brand-hv-exp-email&amp;utm_term=slack&amp;campaign=88216180-CEBA-40C3-8F92-4AC1F052DAB4&amp;ds_rl=1249094&amp;gclid=CjwKCAjwvOHzBRBoEiwA48i6AuYx1hXTUnePGgkhCF7BaELf_jMGyuZszOQfWcwl3TWUSV9pX0K0RRoClb4QAvD_BwE&amp;gclsrc=aw.ds\">Slack<\/a>, Google Hangouts, or <a href=\"https:\/\/www.whatsapp.com\/\">WhatsApp<\/a> for messaging throughout the day. The security conscious use <a href=\"https:\/\/play.google.com\/store\/apps\/details?id=org.thoughtcrime.securesms&amp;hl=en_US\">Signal Private Messenger<\/a> for encrypted communication.<\/p>\n<p>When you have to communicate by voice or video with a team or <a href=\"https:\/\/www.creativecircle.com\/blog\/effective-conference-call\/\">have a conference call<\/a>, there are also many options. If your workplace doesn\u2019t have a preferred platform in place or an IT department with a recommendation, consider your budget and any equipment or training needs for people who are new to remote work.<\/p>\n<p>If you\u2019re disseminating a lot of information or leading a training and want to limit interruptions or participation from a large group of attendees, <a href=\"https:\/\/www.gotomeeting.com\/\">GoToMeeting<\/a> or <a href=\"https:\/\/www.webex.com\/\">WebEx<\/a> are commonly used.<\/p>\n<p>For more collaborative and scalable meetings with video options, <a href=\"https:\/\/zoom.us\/\">Zoom<\/a> and <a href=\"https:\/\/www.bluejeans.com\/\">BlueJeans<\/a> are popular solutions. They enable screen share, chatting, and other features.<\/p>\n<p><a href=\"https:\/\/www.freeconferencecall.com\/\">Free Conference Call<\/a> is popular for those on a tight budget who only need audio. (But, you get what you (don\u2019t) pay for. There are a fair amount of dropped calls or problems with access codes with this service.)<\/p>\n<p>When using a new teleconferencing program, it\u2019s important to give your team the tools to succeed. If security is a concern or people are reliant on their own technology at home, be sure to involve your IT department in this process early on for guidance. Give people ample time to download and familiarize themselves with the application prior to the call. Not everyone will do that, so it may be worthwhile to check in directly with technologically-challenged folks on your team in advance.<\/p>\n<p><a href=\"https:\/\/www.theguardian.com\/world\/2016\/jun\/06\/surveillance-camera-laptop-smartphone-cover-tape\">Many people temporarily cover up the camera on their laptop for security concerns<\/a> and some may prefer an option without video. Allow participants to be on a video conference call or not, if they prefer a voice only option.<\/p>\n<p>Kazi uses <a href=\"https:\/\/gsuite.google.com\/intl\/en_za\/enterprise\/\">G Suite<\/a> for business, which includes Google Meet. \u201cTech costs are spiking with everyone working remotely,\u201d he points out. \u201cWhy take on more operational costs and licenses?\u201d<\/p>\n<h4>Tools for Staying Sane<\/h4>\n<p><a href=\"https:\/\/www.psychologytoday.com\/us\/blog\/talking-about-men\/202002\/social-media-and-mental-health-time-digital-detox\">Social media can have negative impacts on mental health<\/a>, but it may be difficult to avoid if it\u2019s part of your freelance assignment. If you find it distracting for your productivity, you can limit usage through apps on your phone and browser extensions like <a href=\"http:\/\/www.bumblebeesystems.com\/wastenotime\/\">WasteNoTime<\/a> or <a href=\"https:\/\/chrome.google.com\/webstore\/detail\/stayfocusd\/laankejkbhbdhmipfmgcngdelahlfoji?hl=en\">StayFocusd<\/a>.<\/p>\n<p>Clearly we\u2019re not in a typical work environment, even for remote work. It\u2019s critical to <a href=\"https:\/\/store.samhsa.gov\/product\/Taking-Care-of-Your-Behavioral-Health-Tips-for-Social-Distancing-Quarantine-and-Isolation-During-an-Infectious-Disease-Outbreak\/PEP20-01-01-007\">take care of your behavioral health while social distancing during an infectious disease outbreak<\/a>. YouTube is a great source for at home workouts. <a href=\"https:\/\/insighttimer.com\/\">Insight Timer<\/a> is a free meditation app with 30,000 free guided meditations, including meditations that help with getting a good night\u2019s sleep.<\/p>\n<p>You can use <a href=\"https:\/\/www.overdrive.com\/apps\/libby\/\">Libby<\/a> to download ebooks and audiobooks from your public library. <a href=\"https:\/\/www.audible.com\/ep\/audiobooks?ref=a_start-lis_t1_navTop_pl0cg0c0r0&amp;pf_rd_p=f9b26914-b3d3-4272-b941-53a7dd568904&amp;pf_rd_r=PZXH9NCQ288CJSH7EKKB\">Audible made hundreds of titles free<\/a>, particularly for kids, as a gesture while schools are temporarily closed.<\/p>\n<p>Some people are turning to <a href=\"https:\/\/www.npr.org\/2020\/03\/19\/818350972\/as-hanging-out-gets-difficult-more-people-are-turning-to-social-video-games\">social video games<\/a> for interaction.
